In Bamboo Portal, you can connect each Organization to your QuickBooks Online account.
Once your QuickBooks Online account is synced, paid and unpaid invoices will update automatically. Additionally, client accounts, products, and invoices will seamlessly sync from Bamboo to QuickBooks Online.
Key Points on Bamboo and QuickBooks Integration
- You will be able to sync sales orders (Bamboo Sales) and/or transfer manifests (Bamboo Trace).
Invoice Syncing
- Before syncing invoices, we first check to see if previous orders from Bamboo have been manually added to QuickBooks. This is usually based on the Bamboo ID of the order or manifest.
- If you're solely using the QuickBooks <> Bamboo integration and are a new Bamboo user, there should be no issues.
- However, if you've previously imported Bamboo Sales Orders into QuickBooks via export/import, those invoices will already have Bamboo IDs in QuickBooks, preventing duplicates.
- If Bamboo IDs were not used for previous invoices, duplicates could occur. To prevent this, go to QuickBooks Accounts and Settings, navigate to Sales, and enable Custom Transaction Numbers.
Product Syncing
- To avoid duplicate products in QuickBooks, we first check if the product has been synced in Bamboo before.
- If it exists in Bamboo, we will update the product details instead of syncing again.
- If it does not exist in Bamboo, we check if a product with the same name is already in QuickBooks. If found, we create a new product in QuickBooks with the SKU added as a suffix to differentiate it.
- The system uses the SKU and the product name to determine if a product is already in QuickBooks. If neither matches exactly, it will rely on the SKU for verification instead of the name.
Invoice Date & Due Date
- The invoice date is set based on when the sales order is created.
- The due date follows the Net terms set in Bamboo or the client's profile.
- If no Net terms are set in Bamboo, the due date defaults to the setting in QuickBooks.
